Wedding Guest Photo Collection Checklist
A printable before, during, and after checklist for helping guests share event photos through a QR code or shared album.
Before the wedding
- ☐ Choose the collection method and confirm it supports the kind of files you want guests to share.
- ☐ Check the current upload, file, access, and gallery-duration limits for your selected plan or service.
- ☐ Create the event collection or album and set the access and contribution options intentionally.
- ☐ Write a short invitation that says what the QR code opens, what guests can contribute, and that sharing is optional.
- ☐ Test the printed QR code with more than one phone and a reliable connection; confirm that the correct event opens and an upload can be completed.
- ☐ Prepare a short link or a named helper as an alternative for anyone who cannot scan the code.
- ☐ Print the code large enough to scan and place it on a clear sign, programme, or table card where guests can pause.
- ☐ Agree who will check uploads, answer questions, and review the finished collection.
During the wedding
- ☐ Place QR signs where guests can see them without blocking walkways or disrupting the ceremony.
- ☐ Ask the MC or a trusted helper to explain the invitation once, briefly and without pressuring guests.
- ☐ Keep a helper available for guests who want assistance or prefer the short-link option.
- ☐ Check that the sign remains visible and the event link still opens correctly.
- ☐ If uploads do not work, note the issue and offer the host-approved alternative instead of promising a fix or a delivery time.
After the wedding
- ☐ Review the collection with the couple or agreed host before sharing it more widely.
- ☐ Use the service's current download or save instructions to keep the photos the couple wants.
- ☐ Share the gallery or selected photos only with the intended people and explain any link-access limits.
- ☐ Check the service's actual retention, deletion, and link-control settings; record any action the host wants taken.
- ☐ Remove or hide content only using the service controls and event process agreed by the host.
- ☐ Do not assume the gallery will stay online permanently; keep a host-controlled copy of chosen files where appropriate.
